Head of Facilities & Maintenance

Position Summary

The Head of Facilities & Maintenance is the primary steward of the physical ASPIRE portfolio — responsible for ensuring that every studio location across Southern California operates safely, looks impeccable, and functions at the level of quality that ASPIRE's tenants and brand demand. This role owns the full scope of post-construction facility management: from annual maintenance budgeting and vendor contracts to safety compliance, digital access systems, and the day-to-day performance of a territory-based maintenance team.

As ASPIRE grows from 9 locations to a significantly larger portfolio, the Head of Facilities & Maintenance is responsible for building the systems, standards, and team infrastructure needed to scale facility operations without degrading the premium experience that distinguishes ASPIRE from its competitors. This is a senior operational role that requires equal parts strategic planning and hands-on accountability — someone who sets the standard for what a well-maintained ASPIRE location looks and feels like, and then holds their team to it every day.

Core Responsibilities

Portfolio Stewardship & Facility Standards

  • Serve as the primary owner of facility health across all ASPIRE locations, establishing and enforcing the physical condition standards that define a well-maintained ASPIRE studio.
  • Develop and implement a comprehensive ASPIRE Facility Standards Manual covering cleanliness benchmarks, aesthetic upkeep expectations, equipment maintenance protocols, and inspection criteria for all location types.
  • Conduct regular portfolio-wide facility audits, scoring each location against established standards and developing corrective action plans for any location falling below the ASPIRE bar.
  • Partner with the Creative Director to ensure that ongoing facility maintenance preserves the design intent and premium aesthetic of each location over time.
  • Provide the President with clear, regular reporting on the overall health of the portfolio, including maintenance backlogs, recurring issues, and capital repair needs.

Budgeting & Financial Management

  • Develop and manage the annual facilities operations budget across the entire portfolio, including routine maintenance, preventative maintenance programs, vendor contracts, and capital repair reserves.
  • Track maintenance expenditures at the location level, identifying cost variances and implementing controls to keep facility spending within approved budgets.
  • Evaluate repair vs. replace decisions for major building systems and equipment, providing the President with clear cost-benefit analyses to inform capital planning.
  • Negotiate and manage vendor and contractor agreements for recurring facility services — including HVAC, plumbing, electrical, janitorial, landscaping, and pest control — to ensure competitive pricing and reliable service.
  • Collaborate with the Controller to ensure facility costs are accurately coded, invoices are processed correctly, and budget variances are reported on a timely basis.

Safety & Compliance

  • Establish, document, and enforce safety and compliance protocols across all ASPIRE properties, ensuring adherence to OSHA standards, California fire codes, ADA requirements, and all applicable local regulatory obligations.
  • Maintain current certificates of occupancy, fire inspection records, elevator certifications, and all other required compliance documentation for each location.
  • Develop and implement emergency response procedures for each location, ensuring Territory Maintenance Personnel and on-site staff are trained and prepared.
  • Conduct regular safety walks across the portfolio, proactively identifying and remediating hazards before they become liability or compliance issues.
  • Stay current on evolving California safety and building compliance requirements, proactively updating ASPIRE's protocols to remain in full compliance.

Security & Access Control

  • Own ASPIRE's digital site access infrastructure across all locations, including keypad entry systems, fob or app-based access controls, and tenant credential management.
  • Manage surveillance system operations across the portfolio, ensuring cameras are functional, footage is retained per policy, and access to recordings is appropriately controlled.
  • Oversee alarm system management including monitoring contracts, response protocols, and regular testing across all locations.
  • Develop and enforce a security protocol standard for ASPIRE locations that protects tenants, guests, and the physical assets of each property.
  • Coordinate with the Operations Manager on tenant access setup, credential issuance, and deactivation as part of the move-in and move-out process.

New Location Transition & Handoff

  • Partner closely with the Head of Construction to establish and execute a formal construction-to-operations handoff protocol for each new ASPIRE location.
  • Receive and document all warranties, as-built drawings, equipment manuals, and vendor contacts from the construction team at project completion.
  • Conduct a thorough pre-opening inspection of each new location, verifying that all systems are operational, all finishes are complete, and the facility meets ASPIRE's standards before the first tenant takes occupancy.
  • Set up preventative maintenance schedules, vendor service agreements, and access control systems for each new location prior to opening.

Team Leadership

  • Recruit, onboard, and develop a team of Territory Maintenance Personnel, each responsible for the day-to-day upkeep of an assigned geographic territory of ASPIRE locations.
  • Set clear performance expectations for the maintenance team, including response time standards for tenant repair requests, inspection schedules, and facility condition benchmarks.
  • Develop a structured training program for Territory Maintenance Personnel covering ASPIRE facility standards, safety protocols, tenant communication expectations, and maintenance best practices.
  • Foster a team culture that takes pride in the quality of every ASPIRE location and approaches tenant service with the same hospitality-first mindset that defines the ASPIRE brand.

Work Environment

The Head of Facilities & Maintenance operates across the full ASPIRE portfolio in Southern California, dividing time between portfolio oversight, vendor management, team supervision, and hands-on field presence at studio locations. Regular travel between locations is expected, with frequency increasing during new location openings or periods of portfolio-wide initiatives. This is a high-ownership role in a fast-growing organization where the quality of the physical environment is central to the ASPIRE brand promise and tenant experience.

Qualifications

Required Qualifications

  • Minimum of 6 years of facilities management experience, with at least 2 years in a multi-site or portfolio management role.
  • Demonstrated experience developing and managing facility operations budgets, vendor contracts, and preventative maintenance programs.
  • Working knowledge of building systems including HVAC, plumbing, electrical, fire suppression, and access control technologies.
  • Familiarity with California safety regulations, fire codes, ADA compliance requirements, and commercial property compliance obligations.
  • Proven experience managing a team of field-based maintenance personnel across multiple locations or territories.
  • Strong organizational and communication skills with the ability to manage a large, geographically distributed portfolio and team.

Preferred Qualifications

  • Experience in facilities management for multi-unit retail, salon, spa, hospitality, or mixed-use commercial properties.
  • Familiarity with digital access control platforms, surveillance systems, and property security technologies.
  • Experience with Buildium or similar property management platforms for work order tracking and maintenance request management.
  • Certified Facility Manager (CFM) designation or equivalent professional certification.
  • Background working alongside construction teams on new location builds and formal construction-to-operations handoff processes.
