Leasing Coordinator

Southern California (Territory-Based, 75% On-Site)

Position Summary

The Leasing Coordinator is the face of ASPIRE Salon Studios at the territory level — the person that prospective tenants meet first, trust most, and rely on to make the transition into their new professional home as smooth and exciting as possible. Assigned to a defined geographic territory of ASPIRE locations, this role owns the full leasing lifecycle from first contact through move-in, serving as the primary relationship holder for every prospective and current tenant within the territory.

This is a high-energy, people-first role that demands equal parts sales confidence, organizational discipline, and genuine hospitality. The Leasing Coordinator is on-site the majority of the time — hosting tours, building relationships with current tenants, responding to inquiries, and maintaining a deep, real-time understanding of the availability, condition, and competitive positioning of every suite in their territory. Reporting to the Leasing Director, this role is central to ASPIRE's ability to achieve and maintain high occupancy across the portfolio.

  • Territory: Assigned cluster of ASPIRE locations within a defined geographic area
  • Schedule: 75% on-site across territory locations, 25% remote

Core Responsibilities

Lead Management & Sales Pipeline

  • Manage all inbound leasing inquiries within the territory, responding promptly and professionally to leads generated through digital channels, referrals, walk-ins, and marketing campaigns.
  • Maintain an organized, up-to-date pipeline of active leads using ASPIRE's CRM and property management tools, tracking every prospect from first contact through lease execution or disqualification.
  • Follow up consistently and strategically with prospective tenants throughout the consideration process, nurturing relationships with warmth and professionalism to guide leads toward a leasing decision.
  • Meet or exceed individual lead-to-lease conversion targets as established by the Leasing Director, tracking personal performance metrics and proactively identifying ways to improve conversion rates.
  • Communicate pipeline status, occupancy updates, and market observations to the Leasing Director on a regular basis, providing ground-level intelligence that supports portfolio-wide strategy.

Studio Tours & Client Experience

  • Serve as the primary host for all prospective tenant studio tours within the territory, delivering a compelling, personalized experience that showcases the ASPIRE difference and connects with the professional goals of each prospect.
  • Develop a thorough, enthusiastic knowledge of every suite type, amenity, and feature within each assigned ASPIRE location, tailoring tour presentations to the specific needs and service type of each prospective tenant.
  • Maintain model suites and common areas in tour-ready condition at all times, coordinating with Territory Maintenance Personnel on any items requiring attention prior to scheduled showings.
  • Follow up with every tour prospect within 24 hours, providing additional information, answering questions, and continuing to build the relationship toward a leasing decision.
  • Represent the ASPIRE brand with professionalism, warmth, and genuine enthusiasm in every tenant-facing interaction — from the first phone call to the move-in day walkthrough.

Lease Execution & Move-In

  • Manage the end-to-end lease execution process for new tenants, including application review, lease preparation, document execution, and coordination of all move-in logistics.
  • Ensure new tenants are fully onboarded into ASPIRE's systems and processes, including access credential setup, studio orientation, and introduction to building policies and community standards.
  • Coordinate with the Operations Manager on utility setup, lease workflow processing, and administrative onboarding tasks associated with each new tenant move-in.
  • Conduct a thorough move-in walkthrough with each new tenant, documenting the condition of the suite at occupancy and ensuring the tenant has everything they need to begin their business successfully.
  • Celebrate new tenant arrivals with the energy and hospitality that reflects ASPIRE's belief that every professional who joins the community deserves a great start.

Tenant Relations & Retention

  • Serve as the primary point of contact and first line of support for all tenant inquiries, concerns, and requests within the territory, resolving issues promptly and professionally to protect tenant satisfaction and retention.
  • Build genuine, ongoing relationships with current tenants, checking in regularly, anticipating needs, and proactively addressing any concerns before they become reasons to leave.
  • Manage the lease renewal process for tenants within the territory, initiating renewal conversations well in advance of expiration and working to retain high-quality tenants at appropriate terms.
  • Facilitate the move-out process for departing tenants, conducting suite inspections, documenting condition, coordinating with Territory Maintenance Personnel on suite turn work, and ensuring the suite is returned to rent-ready status on schedule.
  • Escalate complex tenant disputes or issues that require management-level involvement to the Leasing Director in a timely and well-documented manner.

Operations Support & Territory Management

  • Maintain a comprehensive, real-time understanding of suite availability, pricing, and condition across all assigned ASPIRE locations, ensuring accurate availability information is always reflected in marketing channels and the property management system.
  • Route maintenance and repair requests from tenants to the Territory Maintenance Personnel, tracking open work orders and following up to ensure timely resolution and tenant communication.
  • Conduct regular walkthroughs of assigned locations to monitor overall presentation standards, flagging any facility, aesthetic, or safety concerns to the appropriate team member.
  • Support the coordination of community events, Lunch & Learns, and tenant appreciation activities within the territory in partnership with the Marketing Manager.
  • Assist with the preparation of new suites for occupancy and the execution of new location openings within the territory as directed by the Leasing Director.

Work Environment

The Leasing Coordinator spends approximately 75% of working hours on-site across their assigned territory of ASPIRE locations, with the remaining 25% spent working remotely on administrative, pipeline management, and follow-up responsibilities. Daily travel between locations within the territory is expected. Qualifications

Required Qualifications

  • Minimum of 2 years of experience in leasing, sales, customer service, or a tenant-facing role; experience in salon suite leasing, property management, or retail leasing preferred.
  • Demonstrated ability to manage a sales pipeline, meet conversion targets, and maintain organized follow-up across multiple active prospects simultaneously.
  • Exceptional interpersonal and communication skills with a natural ability to build rapport, earn trust, and create a warm, professional experience for every prospective and current tenant.
  • Highly organized and self-motivated with the ability to manage a multi-location territory independently, prioritizing effectively between sales activity, tenant support, and administrative responsibilities.
  • Comfortable with technology including CRM tools, property management software, and digital communication platforms; experience with Buildium a plus.
  • Valid California driver's license and reliable personal vehicle required for daily travel between territory locations.

Preferred Qualifications

  • Prior experience in salon suite leasing, commercial real estate, or the professional beauty industry.
  • Familiarity with Buildium or similar property management and leasing platforms.
  • Experience working in a multi-location or territory-based sales role.
  • California real estate license (preferred but not required).
  • Bilingual (English/Spanish) a plus given the diversity of the Southern California beauty professional community.
